Cancellation Policy

# Booking, Cancellation & Waitlist Policy ### Booking your appointment Appointments are arranged in advance and are reserved specifically for you. Once an appointment has been agreed, we ask that you make every effort to attend at the scheduled time. We understand that life happens and that plans sometimes need to change. Our aim is to have a policy that is fair, transparent and compassionate, while also recognising that an appointment time has been held specifically for you. ### Cancelling or changing an appointment We ask for **at least 24 hours' notice** if you need to cancel or rearrange an appointment. Where 24 hours' notice is given, we will normally be happy to rearrange your appointment where availability allows. If an appointment is cancelled with less than 24 hours' notice, or you do not attend, this will be considered **on a case-by-case basis**. We recognise that unexpected circumstances, illness, family emergencies and other situations can arise, and we will always take the individual circumstances into account. Repeated late cancellations or missed appointments may need to be discussed as part of your ongoing therapy and, where appropriate, may affect future bookings. ### If we need to cancel On rare occasions, we may need to cancel or rearrange an appointment due to circumstances beyond our control. We will give as much notice as possible and will work with you to arrange an alternative appointment. ### Joining the waitlist If your preferred appointment time is not currently available, you can ask to be added to our **waitlist**. When an appointment becomes available, it will be offered to the **first suitable person on the waitlist** who is available for that appointment. Being on the waitlist does not guarantee that an appointment will become available, but we will contact you when a suitable space arises. If you are offered an appointment from the waitlist, we may need you to confirm within a specified timeframe so that the appointment can be offered to someone else if you are unable to take it. ### A flexible and fair approach We understand that accessing support is not always straightforward. Our policies are intended to provide clarity and fairness, rather than create additional barriers to accessing mental health support. If something unexpected happens, please talk to us. We would much rather understand what has happened and work out the most appropriate way forward together.
